CLUB RULES |
|
| 1. | NAME |
| The name of the club shall be THE ALDERSHOT, FARNHAM & DISTRICT ATHLETIC CLUB, hereinafter referred to as “the Club”. | |
| 2. | HEADQUARTERS |
| The Headquarters of the club shall be the Military Stadium, Queens Avenue, Aldershot. | |
| 3. | OBJECT |
| The object of the club shall be the promotion of amateur athletics and associated activities. | |
| 4. | OFFICERS |
| The officers who shall be elected annually at the Annual General meeting of the club shall comprise: President, Chairman, two Vice-Chairmen, Hon. Secretary, Hon. Treasurer | |
| 5. | MANAGEMENT COMMITTEE |
| The Management Committee shall comprise the Officers of the Club together with: Membership Secretary (Men), Membership Secretary (Women), Coaching Co-ordinator, Development Officer and Minutes Secretary. The Officers and the Committee shall be elected at the Annual General Meeting of the Club. Additional members may be co-opted by the Management Committee as may be necessary. | |
| 6. | SUB-COMMITTEES |
| 6.1 | General |
| The Club Officers shall be Ex-Officio members of all sub-committees of the Club. | |
| 6.1 | Finance Sub-Committee |
| The Finance Sub-Committee shall comprise: The Hon. Treasurer, Membership Secretary (Men), Membership Secretary (Women), who shall have the power to co-opt such additional members as may be necessary to assist in the fund raising or other similar activities of the Club.
The Finance Sub-Committee shall be responsible to the management committee to account for all monies held by the Club, and shall ensure that the Management Committee is regularly informed of the status of such funds. Further it shall ensure that the club has sufficient funds to carry out its athletic activities. |

| 6.2 | Coaching Sub-Committee |
| The Coaching Sub-Committee shall comprise: Coaching Co-ordinator and all Event Coaches, who shall have the power to co-opt such additional members as may be necessary to assist in meeting the coaching requirements of the Club.
The Coaching Sub-Committee shall be responsible to the Management Committee and shall ensure that the Management Committee is kept regularly informed of the Coaching activities and requirements of the Club. |

| 6.3 | Competition Sub-Committee |
| The Competition Sub-Committee shall comprise: Fixtures Secretary, Officials Secretary and all Team Managers, who shall have the power to co-opt such additional members as may be necessary to assist in the organisation of fixtures.
The Competition Sub-Committee shall be responsible to the Management Committee and shall ensure that the Management Committee is kept regularly informed of the competitions and fixtures of the Club. |

| 6.4 | Development Sub-Committee |
| The Development Sub-Committee shall comprise: Development Officer, Coaching Co-ordinator and Welfare Officers, who shall have the power to co-opt such additional members as may be necessary to assist in the development of the Club.
The Development Sub-Committee shall be responsible to the Management Committee and shall ensure that the Management Committee is kept regularly informed of development plans and of national and local development initiatives and opportunities and how the Club is responding to them. |

| 7. | MEMBERSHIP |
| Membership of the club is as defined by UK Athletics.
Associate Membership will be granted to any person who acts in the management, coaching or officiating activities of the Club. Such members shall be listed and provided with Membership cards by the Management Committee. In all other respects Associate Members shall be considered as being in full Membership of the Club. Family Membership will be considered for two or more members of any immediate family paying the lower rate subscription (under 17). All those listed as being included in the Family Membership shall be considered as being in full Membership of the Club. |

| 8. | VOTING AND REPRESENTATION |
| All Members shall be eligible to vote at Annual General Meetings and/or Special General Meetings. | |
| 9. | RESIGNATIONS |
| A Member intending to resign from the Club shall give notice in writing to the Hon. Secretary and such membership shall be terminated on the date of that notice unless he/she is financially indebted to the Club, in which case, the Management Committee may withhold acceptance of the resignation until he/she has discharged such liability. In any case, the resignation must be considered by the Management Committee or delegated authority within one calendar month of the receipt of the notice. | |
| 10. | FINANCE |
| The current membership subscription rates shall be displayed on the club website. Proposals to change the subscription rates shall be put to the Annual General Meeting or a Special General Meeting called for that purpose
The Management Committee shall have the power to expel any member whose subscription is six months in arrears, provided that one month’s notice in writing shall have been given to such member by hand or sent to such member by Recorded Delivery Letter addressed to his/her last known address, informing him/her of the proposed action of the Committee. The name and address of any person so expelled from the Club shall be sent to the Hon. Secretary of UK Athletics. A member whose subscription is in arrears may be barred from competing for the Club, using training facilities provided by the Club or taking part in any competition promoted by the Club. |

| 11. | ANNUAL GENERAL MEETING |
| An Annual General Meeting shall be held during the months of November/December in every year to receive the Management Committee’s report and financial statement, elect officers and committee and deal with any other item specified on the agenda. The Hon. Secretary shall cause a notice which shall state the date, time and venue of such Annual General Meeting to be posted on the notice board at the Club Headquarters at least 21 days prior to the Annual General Meeting. Nominations, proposed alterations to the rules and notice of any business which it is desired should be placed on the agenda must be given in writing to the Hon. Secretary at least 14 days prior to the meeting. A copy of the agenda and details of the proposals will be posted on the notice board by the Hon. Secretary at least 7 days prior to the meeting. | |
| 12. | SPECIAL GENERAL MEETING |
| A Special General Meeting must be called by the Hon. Secretary upon the receipt of a request signed by not less than ten members of the Club which shall state the business to be brought before the meeting, and only that business shall be discussed. | |
| 13. | ALTERATIONS TO THE RULES |
| No alteration or addition to the rules may be made except at the Annual General Meeting or a Special General Meeting called for that purpose. Notice of any proposed alteration or amendment must be given as provided in rules 11 and 12. | |
| 14. | MANAGEMENT COMMITTEE – NOTICE OF MEETINGS |
| The Hon. Secretary shall give notice of the time and place of any Management Committee Meeting and the business to be dealt with. | |
| 15. | DISCIPLINE |
| The Management Committee may expel from the Club any member whom they deem guilty of conduct detrimental to the interest of the Club or athletics generally. Any such member may claim the right of appeal on giving notice within 7 days of the receipt by him/her of a notice of expulsion. | |
| 16. | DISPUTES AND INTERPRETATION |
| The Management Committee shall decide any questions as to the interpretations of the rules and decide any matter not definitely provided for therein. The Management Committee shall arbitrate in any dispute and its decision will be final. | |
| 17. | MEETINGS |
| Committee Meetings at all levels shall be held as and when necessary as determined by the members of those committees. | |

| 21. | HONORARY MEMBERS |
| Patron & Vice Patron – Awarded to individuals who make donations in cash or kind to the Club.
Vice Presidents – To be elected, and open to all members of the club who have served for ten or more years and/or who have given exemplary service to the Club. Life Vice Presidents – To be regarded as an exceptional honour. May be awarded to Vice Presidents who have given the Club many years of distinguished service. Life Members – To be awarded for outstanding performances or exemplary service as athletes. This defined as

| 22. | PRESIDENT |
| The President shall be nominated by the Management Committee and the nomination put to the Annual General Meeting. | |
